How to Check Availability/Reserve a Room

Please note, reservations are only available to BPL library card holders. If you do not have a BPL Library Card, you can get one at our information desk or online at Get a Card

  1. Go to the meeting room calendar (COMING SOON). (If you have a public event, please Connect With Us about collaboration opportunities.)
  2. Select the desired date on the left side of the page.
  3. Select the desired room.
  4. Select your times by clicking on the green boxes. Use the gray dot slider beneath the boxes to view different times. Any grayed-out times are not available to book. Click Choose.
  5. Enter your library card and PIN. The contact person must have a valid Bentonville Library Card. This person must be able to be contacted and must be present for the entirety of the scheduled reservation.
  6. Complete all required fields on request form. Click Next when ready to book.
  7. Review booking details and click Reserve.

Please keep in mind:

  • Any organization or group wishing to use a meeting room must complete the Online Meeting Room Request Form accessible via the library’s website.  
  • The individual who submits the reservation must have a valid Bentonville Library Card. This person must be able to be contacted and must be present for the entirety of the scheduled reservation. 
  • The individual who submits the reservation is responsible for scheduling, payment of fees, and ensuring adherence to library policies and rules. They may designate other individuals to be onsite for room use supervising the activities of the group. The person making the reservation, or designated individuals, must check in with library staff before the room is opened and at the conclusion of the meeting.
  • The reservation is not confirmed until the requester receives approval from library administration or designated staff, and all fees have been paid or other arrangements made.
  • A new application form must be completed for each request.
  • Individuals booking rooms must be at least 18 years old.
  • Certain equipment may be made available to organizations using the library meeting room facilities. It is the responsibility of these groups to request the equipment at the time the room is scheduled. 

General Guidelines

  • Study rooms are available on a first come first serve basis.
  • Groups are limited to four reservations per quarter.
  • Groups will not be allowed into the room until contact person has checked in.
  • Please notify meeting room staff of late arrivals; rooms will be released if not checked in within 30 minutes of reservation start time.
  • No social events are allowed. This includes, but is not limited to: birthday parties, showers, and office parties.
  • Political campaigning or fund raising events are not allowed on library premises.

Food & Drink

All outside catering must be approved by library staff.  Light snacks and drinks with lids are permitted in the library.

211 Café at BPL offers catering options for coffee and other refreshments. Special prices for meeting room users are available. Email 211 at mauricio@cafe211.com.

Rooms At-A-Glance

Walmart Foundation Community Room* up to 265 people

Multipurpose event space with integrated technology: two screens w/projectors microphones and speakers. Chairs and tables available. Main Street entrance leads to McMillon Lobby which can be used as a prefunction area before/after library is closed and into event space. McMillon Lobby also accessible from main part of library but only during library open hours. Sink and counter are available for light cleaning and serving capacity. Large windows allow daylight and visibility from and to Main Street. Space can accommodate up to 25 tables and ~190 chairs.

Rotary Conference Room* up to 70 people

Multipurpose event space with integrated technology: two digital screens microphones and speakers, white board. Space can accommodate 10 tables and 70 chairs.

Haney Family Conference Room* up to 20 people

Multipurpose event space with integrated technology: one digital screen for presentations, white board. Accessible from Adult Collection during library's open hours. Space for 6 tables and 18 chairs.

Adult Meeting Rooms* up to 8 people

Accessible to public, requires reservation and fee. Table and chairs ideal for up to eight people. Accessible from Community Hub.

Adult Group Study up to 4 people

Multipurpose event with digital display and white board. Accessible through Community Hub during Library open hours. One table, chairs. First-come, first-served. 

Adult Small Study Rooms up to 2 people

Accessible in two locations during Library open hours, through Community Hub and in east wall of Adult Collection. First-come, first-served. 

Teen and Children Study Rooms are available for respective age groups. 

Library equipment available for use; a technology fee applies.
